What to do when you are hired as an employee of UCLA
 

When hired as an employee of UCLA, please bring the forms you printed from GLACIER along with your passport/visa booklet, I-94 (arrival/departure card) and I-20 (issued to non-immigrant students), DS-2019 (Certificate of Eligibility for Exchange Visitors), or I-797B including any other supporting documents to the following location(s): 

J-1 (students, researchers, scholars) and F-1 (students) visa holders must report to the Dashew Center in person within 30 days of your starting date.  Around the middle of the month, OISS will send out a reminder email if you have not checked in.

H-1B (specialty occupation) visa holders must report to your hiring department

  • If you are coming from abroad, you need to report to your hiring department and also report to Dashew Center to make sure the documents provided by immigrations services is correct.

  • H1-B visa status are visitors who are already in the U.S. and UCLA Payroll has already processed you to be hired.  If your payroll information is complete, you only need to report to your hiring department. OISS will generate your Notice of Action (I-797B) and you only need to provide your passport and I-94.

Social Security Numbers

All individuals employed at UCLA must have a Social Security Number (SSN).  If you don't already have an SSN, you will need to visit a Social Security Administration office in person and submit Form SS-5 (Application for SSN) along with original documentation verifying your age, identity, immigration status, and authority to work in the United States. The Dashew Center will help facilitate requests for a SSN:   http://www.intl.ucla.edu/forms.html. Generally, you will receive your card about 2 weeks after the SSA has all of the necessary information. 

Applications are available from your local Social Security Administration (SSA) office or call the SSA at 1-800-772-1213 in the U.S.. You can also download Form SS-5 from the SSA's website at http://www.ssa.gov/.
